Pipedrive CRM Setup Checklist: 10 Steps to a Pipeline That Closes Deals

Pipedrive is one of the easiest CRMs for sales teams, but a rushed setup quickly turns into a messy pipeline. Use this 10-step checklist from my Pipedrive projects to get it right the first time.

1. Define your sales process

Write down how a lead becomes a customer, including who is responsible at each step. This becomes your pipeline.

2. Create pipeline stages

Keep stages action-based (for example New Inquiry, Qualified, Proposal Sent, Negotiation) and set realistic win probabilities.

3. Add only the custom fields you need

Every field should support a decision, a report or an automation. Use dropdowns instead of free text where possible.

4. Set up users, teams and visibility

Configure permission sets and visibility groups so reps see what they need.

5. Connect email and calendar

Sync Gmail or Outlook and calendars so conversations and meetings are logged automatically.

6. Capture leads automatically

Connect website forms, landing pages and Facebook or Google lead ads to Pipedrive using native integrations, Zapier, Make or n8n.

7. Build workflow automations

Create follow-up activities, send templated emails, notify owners and move deals when key events happen.

8. Use rotting and activity reminders

Enable deal rotting so stalled deals are highlighted, and make sure every open deal has a next activity.

9. Import clean data

De-duplicate and map spreadsheets or old CRM data before importing people, organizations and deals.

10. Build dashboards

Track conversion by stage, deal velocity, won revenue and activity goals to coach the team.
